How GrowthLabs Cut Its Software Stack from 6 Tools to 1
A 12-person Dubai marketing agency replaced its entire stack of client-management SaaS with a single self-hosted AuxBOS install — reclaiming 40+ hours of finance time every month.
01 The Challenge
GrowthLabs ran a lean 12-person creative-and-media agency for Middle-East consumer brands. Small team, tight margins, and — like every agency their size — a software stack that had grown by accident rather than design.
Their operations director Omar Farooq inherited a mess:
- Six overlapping tools: HubSpot Starter for CRM, ClickUp for project management, Toggl Track for time, FreshBooks for invoicing, BambooHR for HR, and a bolted-on client-portal SaaS that never worked well.
- Data lived in silos. A hour logged in Toggl didn't automatically appear on the invoice in FreshBooks. Client campaigns tracked in ClickUp didn't feed the CRM. Every month-end took the finance team 40+ hours of manual reconciliation.
- Client visibility was fragmented. Clients asked "what's the status?" three times a week. Screenshots of ClickUp boards, PDF exports of Toggl reports, and email chains were the answer. Not great.
- Software spend was disproportionate. Monthly stack cost: $1,150. That was more than one junior staffer's salary in Dubai.
Michael was tasked with getting operational costs down without cutting people. He set a hard rule: replace as many SaaS tools as possible with something GrowthLabs could actually own.
02 The Solution
Michael evaluated seven platforms over two weeks. AuxBOS won on the specific factor that mattered to a small agency: every module included in the same license, no per-user pricing to punish future hiring, and self-hosted so client data (some of it under NDA) stayed on GrowthLabs' own infrastructure.
He bought the International License at USD $3,000 plus the installation add-on. AuxBOS engineers deployed the platform on GrowthLabs' Hetzner server in Dubai, configured white-label branding with the GrowthLabs logo and colors, and trained the team over two half-day sessions.
The rollout was staged so no one client was disrupted:
- Weeks 1-2: Migrated employee records from BambooHR. HR module went live.
- Weeks 3-4: Migrated project data from ClickUp into AuxBOS tasks and projects. Time tracking switched from Toggl to AuxBOS timers, with hours flowing directly to project records.
- Weeks 5-6: CRM data migrated from HubSpot. Sales pipeline moved. Marketing drip campaigns rebuilt in AuxBOS to send through GrowthLabs' Google Workspace SMTP.
- Weeks 7-8: Invoicing migrated from FreshBooks. First month of invoices generated directly from tracked hours, sent from GrowthLabs' domain.
- Week 9: Every client got an email inviting them to the new client portal — white-labelled with the GrowthLabs brand. Every project's status, deliverables and invoices visible in one place.
We were juggling 5 different tools and spending hours on manual reports. AuxBOS consolidated everything into one platform. Our team is more productive, our clients are happier, and I got a whole finance person's worth of hours back every month.
03 The Results
Five months after the switch was complete, GrowthLabs had metrics to show for it:
- 40+ finance hours saved every month. Month-end reconciliation went from a 40-hour ordeal to a 4-hour final review. Invoices now generate directly from tracked hours — no manual data entry, no exports-and-uploads.
- $1,150/month in SaaS spend eliminated. Cancelling HubSpot, ClickUp, Toggl, FreshBooks, BambooHR and the client-portal add-on saved $13,800/year. The AuxBOS license paid for itself in month 5.
- Client status calls dropped by ~60%. Clients started checking the branded portal for updates instead of pinging account managers. "What's the status?" became a Slack question only when something was actually blocking.
- Faster invoice-to-cash cycle. Average payment time dropped from 34 days to 19 days once clients had a portal to view invoices in and pay directly.
- Zero SaaS lock-in. All client data now sits in GrowthLabs' own MySQL database on their own server. No renewal negotiations, no "export tier" fees, no vendor risk.
GrowthLabs has since started using AuxBOS's white-label license as a competitive differentiator — pitching prospects on "your own private client portal, branded as our extension of your marketing team." Two new retainer deals in Q2 cited the portal as a reason they picked GrowthLabs over larger competitors.
